The Solution: Use SaasAnt’s Download (Export) feature to extract Bill Payment transactions into a clean Excel/CSV format.
The Key Benefit: Get a flat database file showing exactly which bills were paid, including payment methods, reference numbers, and vendor details—perfect for remittance advice or audit trails.
Quick Steps: Quick Access Dashboard > Download (Export) > Select Bill Payments > Search > Download.
Install: Get SaasAnt Transactions from the QuickBooks App Store and start a free trial.
Connect: Securely authorize the connection to your QuickBooks Online company. We do not store your (customer) data; we simply process the transfer.
From the Quick Access dashboard, click the Download (Export) button listed in the main menu.
In the Transaction/List dropdown, select Bill Payments.
Choose the Date Type that matches your goal:
Search By Transaction Date: (Standard) Exports based on the actual payment date. Use this for bank reconciliation and cash flow reporting.
Search By Created Date: Exports based on when the payment was recorded in QuickBooks. Use this to audit work done by a bookkeeper recently.
Search By Last Updated Date: Exports based on when the record was last modified.
Range: Enter your Start and End dates.
Format: Use the dropdown inside the date box to pick your preferred format (e.g., MM/DD/YYYY).
In the Use Saved Template dropdown, leave it as Simple Mapping for a standard export.
Tip: Create a custom template if you need to re-order columns or include specific fields.
Use the advanced filters to isolate specific payments:
Total Amount: Enter a From Amount and To Amount to find payments within a specific value range (e.g., payments over $5,000).
Vendor: Select a specific vendor to export their entire payment history.
Bill Payment No: Input a specific reference number (like a check number or ACH ref) to find a single transaction.
Show Records From (Start At): Use this to chunk large exports. If you need to export 5,000 payments, run 1–2,500 first, then run a second search starting at 2,501.
After clicking Search, review the transactions in the grid:
Verify Links: If you enabled "Detailed Report," check that multiple rows appear for single payments covering multiple bills.
Download: Click the Download button at the bottom right, select .xlsx or .csv, and save your file.
The steps above are for manual exports. If you need this data regularly for remittance advice or offline archives, use the Backup module.
Set it and forget it: Schedule daily, weekly, or monthly exports.
Delivery: Have files automatically sent to email, FTP, or storage integrations without logging in.
Remittance Advice: Generate a detailed list of paid bills to send to vendors, showing exactly which invoices were covered by a single payment.
Audit Trails: Verify that payments were applied to the correct bills and ensure no duplicate payments were made.
Migration: Move payment history to a new accounting system while preserving the links to the original bills.
