To download and sync Etsy transactions into QuickBooks Online, you must connect your Etsy store with PayTraQer. This article explains how to sync Etsy orders, customers, products, taxes, discounts, shipping charges, fees, and refunds into QuickBooks Online.
Log in to PayTraQer with the QuickBooks Online company you want to sync with Etsy.
Check that your PayTraQer account is active before setting up the Etsy sync.
Stay on the PayTraQer dashboard to begin the connector setup.
From the left menu, click Connectors.
A connector menu will appear with different connector options.
Select E-commerce Connectors to view the ecommerce platforms supported in PayTraQer.
This section is used to manage online store integrations such as Etsy.
On the E-commerce Connectors page, find Etsy from the list of available platforms.
Click Connect next to Etsy.
PayTraQer will redirect you to the Etsy authorization page.
Sign in to your Etsy account
Allow PayTraQer to access the required Etsy store data.
Once authorization is complete, you will be redirected back to PayTraQer.
In the Etsy connector row, click See How It Works.
A User Guide window will open.
Stay on the Transaction Recording tab.
Review how PayTraQer converts Etsy transactions into QuickBooks Online entries.

Check how Etsy sales, fees, refunds, and payouts are mapped in QuickBooks Online.
Make sure Etsy fees are recorded as expenses.
Confirm that payouts are mapped correctly to the selected bank or clearing account.
Click OK once you have reviewed the transaction flow.
From the left menu, select Transactions.
The Transactions page will show different tabs to help you review and manage Etsy transactions.
Section | Purpose |
Review | Lists Etsy transactions that are ready to sync. |
Synced | Shows Etsy transactions already posted to QuickBooks Online. |
Error | Lists transactions that failed during sync and need correction. |
Ignored | Stores transactions you chose not to sync. |
Sync History | Shows previous sync activities and results. |
Stay in the Review tab to view Etsy transactions that are ready to sync.
Click Filter to narrow down the transactions you want to review.
You can filter transactions by date, amount, payment system, transaction type, transaction ID, and contact.
Select the Etsy transactions you want to process.
Use Sync to upload the selected transactions to QuickBooks Online.
Use Ignore if you do not want to sync selected transactions.
Use Clear Selection if you want to remove the selected records and start again.
In the Review tab, find the Etsy transaction you want to sync.
Check the transaction type shown on the record, such as sale, payment, refund, or fee.
Review the customer name, transaction date, amount, and transaction ID.
Check the QuickBooks entry type mapped for the transaction.
Click Review & Sync to open the transaction details panel.
PayTraQer will show the selected Etsy transaction details on the right side of the screen.
Review the Etsy transaction number, date, and amount.
Check the customer details under the billing or customer section.
Review the item details, including product name, quantity, tax, discount, shipping, and total amount.
Confirm the income account or product mapping used for the Etsy sale.
Check the clearing account or bank account selected for the transaction.
Review any fee details if Etsy fees are included in the transaction.
Confirm the tax code if tax tracking is required.
Make sure the details are correct before syncing the transaction into QuickBooks Online.
Once the transaction details look correct, click Review & Sync.
PayTraQer will start syncing the selected Etsy transaction into QuickBooks Online.
Wait until the sync process is completed.
Do not refresh or close the page while the transaction is being synced.
After the sync is complete, PayTraQer will show the Transactions Synced Successfully window.
Check the sync summary displayed on the screen.
Make sure the Successful count shows the transaction was synced.
Review the synced Etsy transaction entry shown in the result window.
Click OK to close the confirmation window.
Go to the Synced tab on the Transactions page.
Find the Etsy transaction that was posted to QuickBooks Online.
Review the transaction type, customer name, transaction date, amount, and transaction ID.
Click Details to view the QuickBooks entries created for the Etsy transaction.
Check whether the sales receipt, invoice, payment, fee, refund, or transfer entry was created successfully.
Click Open in QuickBooks to verify the created entry directly in QuickBooks Online.
If the transaction was synced by mistake, click Undo to reverse the synced Etsy transaction from PayTraQer.
Go to the Sync History tab on the Transactions page.
Review previous Etsy sync activities listed on the screen.
Check the sync date, transaction type, amount, and synced record count.
Make sure the Synced count is correct.
Use this page to track earlier Etsy syncs and verify what was posted to QuickBooks Online.
If needed, click Undo to reverse a previously synced Etsy transaction.
From the left menu, select Settings.
Choose Sync Settings from the list of options.
Find the Etsy connector card on the Sync Settings page.
Click Change Settings to open the Etsy sync configuration.
Make sure the Etsy settings screen is displayed before making any changes.
